What are PDF Annotations and Forms?
PDFs can contain dynamic overlay elements that are distinct from the primary page graphics. These are grouped into two categories:
- Annotations: Sticky notes, text callouts, highlight markers, drawing markups, and stamps. These are added by readers to review or comment on a document.
- Form Fields (AcroForms / XFA): Fillable text fields, checkboxes, dropdown lists, signature fields, and submit buttons.
The Print Risk: Missing Comments and Blank Forms
Interactive elements are designed for on-screen use and are not part of the physical print sheet:
- Disappearing Comments: Most professional prepress engines (RIPs) completely ignore markup layers. Comments, review notes, and corrections will not print, leaving the final sheet incomplete.
- Blank Form Fields: Fillable text typed in by a user on a form is often stored dynamically. A press RIP will print the empty form outline, omitting the entered text.
- Security Locks: PDFs with signature fields are often locked, preventing imposition tools from placing pages onto a print sheet.
